1. Electronic Communications
1.1 Scope
This section governs the use of all electronic communication systems and devices provided by Sidelink Transport or its clients, including:
- Telephone systems: landlines, company-provided mobile phones, and VoIP systems
- Internet and intranet systems, including web browsing and internal communications (e.g. Google Chat, Cisco Webex, FreightTracker)
- Email and electronic journals and reporting
- Company and client communication systems and devices
- Electronic data of any form
All electronic communication use must comply with relevant laws and regulations, including those governing privacy, copyright, anti-discrimination, and the prohibition of illicit, discriminatory, or offensive materials.
1.2 Monitoring and Data Ownership
All company devices and electronic communications are subject to monitoring and/or auditing to ensure compliance with this policy.
All electronic mail, documents, software, and data stored on Sidelink Transport equipment or used for work is Sidelink Transport property. This data must be used only in accordance with Sidelink Transport policies, is subject to inspection at Sidelink Transport's discretion, and must be provided to Sidelink Transport immediately upon request.
1.3 Use of Company Systems and Devices
Electronic hardware and software are intended for Sidelink Transport business use. Any unauthorised, unlawful, or unreasonable personal use is prohibited.
During working hours (including reasonable overtime), employees must:
- Remain available for contact and actively use all provided electronic communication systems
- Not disable, mute, or otherwise impede the normal function of any required communication system or device (such as Google Chat, Webex, email, or company telephone)
- Obtain explicit approval from the Systems Manager before modifying, disabling, or muting any system or device
All company hardware is prepared with an approved setup. Modifications to core operating systems or deployed applications require written approval from the Systems Manager. Employees may use personal email from company-owned devices, but no personal or private software may be loaded on company devices. A person must not impersonate another person or use another person's device without permission.
Personal mobile devices may be used in the workplace only during breaks and non-working hours, provided their use does not disrupt work or interfere with colleagues. Personal mobile devices may be approved to access Sidelink Transport communications systems including email, VoIP, and Wi-Fi.
1.4 Prohibited Activities
Employees must not use company electronic communication systems to send, receive, store, or disseminate any material that is:
- Unlawful or abusive: fraudulent, unlawful, or abusive calls or messages; or any activity in violation of local, state, territory, or federal law (including gambling)
- Defamatory or offensive: material that is defamatory, offensive, demeaning, persistently irritating, threatening, discriminatory, harassing, amounts to gossip, or concerns personal relationships
- A confidentiality breach: unauthorised sending, receiving, or disseminating of proprietary data, trade secrets, or other confidential or sensitive information
- A copyright breach: disseminating or printing copyrighted materials in violation of copyright laws; unauthorised use, duplication, or distribution of computer software is a criminal offence
- Pornographic or sexual: sending, intentionally retrieving, or soliciting sexually-orientated messages or images
- Prejudicial to company standing: material prejudicial to the good standing of Sidelink Transport in the community or to its relationship with staff, customers, suppliers, or other businesses
- Unauthorised business use: operating a business, usurping business opportunities, soliciting money for personal gain, sending chain letters, or conducting any outside business
- Excessive personal use: any personal use that is excessive, negatively impacts Sidelink Transport, or interferes with job performance or the operation of company equipment
1.5 Data Security
Employees are required to safeguard all confidential, sensitive, or proprietary information (e.g. client lists, unreleased financial data, trade secrets) against unauthorised disclosure.
Employees must:
- Ensure every use of company systems is authorised and proper
- Exercise extreme caution with unsolicited communications, attachments, or external data sources — particularly those that appear suspicious or attempt to gather sensitive information (phishing); any such communication must be immediately reported to the Systems Manager and deleted without engaging with links or downloading attachments
- Always use appropriate password protection to prevent unauthorised access
- Never store confidential, sensitive, or proprietary information on any personal electronic device
1.6 Social Media
Sidelink Transport expects all employees to maintain a professional standard of behaviour when using social media for work or personal purposes. Inappropriate use can cause significant damage to the company, its clients, and its personnel.
General conduct — applies at all times, including outside work hours:
Employees must never post anything online that is false, misleading, obscene, defamatory, libellous, threatening, harassing, abusive, hateful, or embarrassing to any person or entity related to Sidelink Transport, its business, or its employees. Others' privacy must be respected at all times. Third-party websites and blogs linked from company accounts must meet Sidelink Transport's standards of propriety.
Professional use:
No employee, contractor, or subcontractor may engage in social media as a representative of or on behalf of Sidelink Transport without prior written approval from the Sidelink Transport Management Team. When directed to contribute to social media, employees must act professionally and in the best interests of Sidelink Transport. Employees must never use social media to disclose confidential information or speak on behalf of Sidelink Transport — including displaying any Sidelink Transport name or logo — unless expressly authorised. For brand-specific restrictions on creating accounts or handles, see Section 2.5.
Personal use:
Sidelink Transport respects the right of employees, contractors, and subcontractors to contribute to public communications on non-company websites, blogs, and social networking sites. When posting personal content, employees must ensure their association with Sidelink Transport is not inferred or displayed, and must never disclose confidential information or claim to represent the company's views.
2. Brand Assets
2.1 Purpose and Scope
This section ensures the consistent, accurate, and lawful use of Sidelink Transport's brand assets, protecting our intellectual property, preserving brand equity, and minimising the risk of customer confusion and legal infringement.
This section applies to all employees, contractors, partners, vendors, and third parties who use or refer to the Brand Assets in any medium.
Definitions:
- Business Name (Trading As): Sidelink Transport
- Registered Entity: Sidelink Transport Pty Ltd
- Trademark(s): The formally registered logo of Sidelink Transport (the "Mark")
- Brand Assets: The Business Name, the Registered Entity name, and the Trademarked Logo
- Slogan: Any taglines or phrases used in marketing; currently unprotected
2.2 General Use Guidelines
- The Business Name must always be spelled and capitalised exactly as Sidelink Transport
- The full legal name Sidelink Transport Pty Ltd must be used for all legal contracts, corporate registration documents, formal disclosures, and mandated financial statements; the shorter form Sidelink Transport is acceptable for day-to-day communication, advertising, and casual correspondence
- Do not use Brand Assets as a generic noun, verb, or adjective (e.g. say "Please book the load with Sidelink Transport," not "Please Sidelink the load")
- Abbreviations (e.g. "SLT") must not be used unless specified in the Brand Guidelines
- All uses of Brand Assets must clearly indicate they are the property of Sidelink Transport Pty Ltd
- Do not combine Brand Assets with any other trademark, company name, domain, product, or service name without written permission from the Compliance Department
- Do not use Brand Assets in any way that suggests endorsement, sponsorship, or affiliation with a third party without written authorisation from the Compliance Department
2.3 Corporate Communications and Stationery
All official documentation intended for external distribution — including contracts, invoices, formal letters, and reports — must use the current approved Sidelink Transport document templates. Users must not alter the format, placement, size, or colour of the Business Name, Registered Entity name, or Trademarked Logo on any approved template.
All employees must use the official, standard Sidelink Transport email signature provided by the Systems Manager. The signature must correctly display the Business Name, the Registered Entity Name (where legally required), the Trademarked Logo (if included), and any legally mandated corporate information such as ABN/ACN. The Trademarked Logo may only appear in email communications as part of the official approved signature graphic — no other use of the logo in the body of emails is permitted.
2.4 Logo and Trademark Usage
The Trademarked Logo must only be used in its approved, unadulterated form using the approved colours, proportions, and minimum sizes detailed in the Brand Style Guide. Do not stretch, condense, rotate, recolour, or add any elements to the logo. A clear space free of other text or graphics must be maintained around the logo as specified in the Brand Style Guide.
Use of the registered trademark symbol ® is optional under Australian law. When used, it must be applied consistently and in the location specified by the Brand Style Guide. It is an offence under the Trade Marks Act 1995 to use ® on any mark not registered with IP Australia. The company slogan, if used, must be visually separated from the logo and must not carry trademark symbols, as it is not currently protected.
2.5 Prohibited Uses
The following uses of Brand Assets are strictly prohibited without explicit authorisation from the Compliance Department:
- Registering, holding, or using any domain name identical or confusingly similar to Sidelink Transport or Sidelink Transport Pty Ltd
- Creating social media accounts or handles that mimic or are confusingly similar to Sidelink Transport's official accounts
- Using Brand Assets in any way that is disparaging, defamatory, or connected with illegal or offensive content
- Manufacturing, selling, or distributing merchandise bearing the Brand Assets without prior approval
- Creating any new logo or design incorporating elements of the Trademarked Logo, or using the Business Name in a stylised font that mimics the registered logo
2.6 Reporting Brand Infringement
All employees, contractors, and partners must immediately report any suspected misuse, infringement, or unauthorised use of Brand Assets to the Compliance Team, (compliance@sidelink.com.au), including details of where and how the Brand Assets are being misused (e.g. website links, screenshots, or physical location).
3. Quality
Sidelink Transport is dedicated to communicating and delivering a consistent, high-quality service experience. Our quality commitments define the standard by which we measure ourselves and the expectations we set with customers, partners, and our team.
Sidelink Transport will strive to:
- Be our customers' first choice partner for transport and warehouse services
- Deliver on time and in full, every time

- Establish ourselves as market leaders in our key operating areas
- Develop our team to be the most knowledgeable and skilled in the industry

These commitments apply across all Sidelink Transport operations including transport, receival, storage, and dispatch of goods and intermodal containers. They inform how we communicate with customers, how we measure our performance, and the standard we hold ourselves and our partners to.
4. Uniform & Presentation
Sidelink Transport's uniform and presentation standards reflect the company's commitment to safety, professionalism, and consistent brand representation across all operating environments.
Issued branded clothing is a visible expression of Sidelink Transport's identity. All employees are expected to present themselves in a manner that upholds the company's reputation with clients, contractors, and the public.
Sidelink Transport will:
- Issue branded clothing to all employees appropriate to their role and operating environment.
- Ensure that branded clothing meets the visual identity standards set out in this policy, including approved logo placement, colourways, and garment types.
- Ensure that high-visibility clothing issued as a risk control measure meets applicable safety standards and is replaced when reported as damaged or no longer fit for purpose.
Employees are responsible for maintaining issued clothing in a neat and clean condition and wearing it wherever practicable during the performance of their duties.
Specific workwear requirements by role and site — including footwear standards, PPE obligations, and area-specific requirements — will be set out in either Handbooks or Procedures.
Breaches of this Policy
All suspected and observed breaches will be investigated and appropriate disciplinary and remedial action taken. Employees and road contractors (including their employees) who do not adhere to this Policy will face disciplinary action, including formal warnings and dismissal or termination of contract.
